Summary

Under general supervision, performs a variety of legal secretarial and administrative functions to support the activities of Butte County attorney's.

Essential Job Functions

Essential functions, as defined under the Americans with Disabilities Act, may include any of the following tasks, knowledge, skills and other characteristics.  The list that follows is not intended as a comprehensive list; it is intended to provide a representative summary of the major duties and responsibilities.  Incumbent(s) may not be required to perform all duties listed, and may be required to perform additional, position-specific tasks.

  • Provides a wide range of clerical and secretarial support and administrative duties.
  • Supports case preparation; reads and reviews reports; acquires background information; organizes trial orders, schedules and court filings; contacts witnesses, victims, attorneys and others associated with cases; acquires and organizes accident reports, police reports, statements, photos and other background information; interviews witnesses and victims.
  • Assists in gathering information for prosecution and litigation; prepares and follows up on subpoenas; prepares written and oral reports for internal and external audiences; routes legal documents to defendants, attorneys and courts for processing; maintains, tracks, and updates legal information; resolves routine problems; provides assistance and support in a variety of civil case activities.
  • Types and proofreads legal documents; receives, opens, reviews, sorts and distributes mail; maintains attorney calendars; answers phones and accommodates walk-in clients; establishes filing procedures; coordinates and monitors assigned projects.
  • Types, edits and prepares general correspondence; responds to routine letters and composes general correspondence.
  • Transcribes reports from audio or audio/video tapes.
  • Creates and maintains criminal and civil case files; researches files and computer databases.
  • Provides information and assistance within the scope of designated authority.
  • Checks local and state warrants, and collects and distributes related paperwork.
  • Collects statistical data and compiles data for reports; updates and assures the accuracy of statistical database.
  • Works with and assists County employees and others having business with the County.
  • Updates automated and manual computer records and tracking systems.
  • Receives and sends information to and from other agencies and jurisdictions; coordinates activities.
  • Promotes District Attorney's programs as assigned; projects positive support of the department and county organizations at all times.
  • Performs other related duties as assigned.

Minimum Qualifications

  • A high school diploma or GED equivalent.
  • Three (3) years of relevant clerical and secretarial experience that includes two (2) years of work in a legal office.
  • Must possess State of California driver's license and successfully pass a background investigation, fingerprinting, criminal and other relevant records checks.
