Program Description:

The Office of General Counsel and Legal Affairs’ (Legal) provides legal advice, counsel and representation for matters involving PHS, its senior leadership team, Board, and employees. Legal issues arise in the context of PHS’ operations, administration, programs, and services. We work with all PHS departments to ensure understanding of, and compliance with, federal, state, and local laws and rules, and contractual requirements. Our approach is hands-on and proactive—engaging as partners with our colleagues to get in front of legal issues. We regularly draft guidance and policies to ensure PHS’ compliance with legal requirements. Our broad portfolio includes contracting; employment and labor matters, including pension and investments; real estate issues; Board of Directors’ matters; regulatory compliance; and oversight of litigation and investigations.‚Äč

Position Summary:

We are seeking a Legal Assistant to provide administrative support and managing day-to-day operations of our busy Legal department.

Specifically, the Legal Assistant will:

  • Research regulations, laws, briefs, statutes, legal articles, and legal precedent to assist Counsel with the preparation of reports, case files, and legal advice.
  • Draft and proofread correspondence and legal documents such as contracts.
  • Mange legal documentation and correspondence in strict confidence.
  • Organize, analyze, and compile information.
  • Develop and maintain an internal system and timetable for contract requests by various PHS departments and programs.
  • Perform data entry into relevant PHS systems to manage contracts, accounting and billing.
  • Complete administrative duties such as making copies, filing, signature approvals, scheduling meetings, and maintaining calendars.
  • Perform other duties as they arise.

Qualifications and Experience:

  • Associate degree or paralegal certificate required, Bachelor’s degree preferred.
  • 2-5 years’ of relevant experience ina legal department or law firm.
  • Highly developed technological and data management skills, including knowledge of and experience using calendar management software, contract management software, and the MS Office Suite.
  • Ability to interpret and assimilate instructions and new information presented either in written or oral form.
  • Excellent communication (written and verbal) and interpersonal skills. Ability to work independently and collegially with diverse personnel and to communicate effectively across all levels of employees and management.
  • Detail-oriented, organized, efficient and resourceful with strong follow-through skills.
  • High degree of professional ethics and integrity.
