This position provides administrative assistance to the Office of the Circuit Clerk. The typical starting salary range is between $15.54-$18.64 hourly depending on candidate's qualifications and experience as well as budgetary considerations.
Examples of Duties
Responsible for payroll functions of the Circuit Clerk's Office which includes completing and submitting timesheets, maintaining personnel and payroll records for County employees, and disseminating information to appropriate staff regarding benefits, FMLA, etc.
Processes prisoner mail by reading and determining appropriate actions and updates the case management system accordingly.
Performs general clerical duties such as sorting mail, performing general filing, maintaining the Circuit Clerk's Calendar, and drafting correspondence for the Circuit Clerk's signature.
Assists with the typing of marriage licenses.
Requests interpreters for court hearings as needed. Coordinates with attorneys, division clerks, judges, and interpreter services utilized by the court. Verifies and approves related invoices for payment.
Provides customer service to judges, attorneys, employees, state and county officials, and the general public both verbally and via written communication.
Performs special projects as assigned by the Director of Judicial Administration and the Circuit Clerk.
Processes the transmittal notices to attorneys and litigants for document requirements and payment of court fees which includes necessary calendaring, review and follow up. Drafts orders for compliance and orders of dismissal when necessary and enters relevant dockets into JIS.
Calendars and processes expungement cases when the Circuit Clerk is the party to the law suit. Drafts Entry of Appearance and Answer for signature
of Legal Counsel and files in appropriate court case.
Coordinates schedules and coverage for the two County employees responsible for covering the Court's Information Desk and phones.
Assists with the court forms process, including designing new forms and updating existing forms; assists with the ordering process..
Periodically assists with coordinating the publications and postings of Administrative Orders issued by Judges.
Monitors court's ADA email and general email accounts responding or forwarding as necessary.
Performs related work as required.
Three years' of clerical experience in a legal office environment or an equivalent combination of training and experience.
SELECTION AND APPOINTMENT: A selection committee will evaluate the qualifications of each applicant which will include recentness and appropriateness of the applicant's education and experience, answers to the supplemental questions, results of employment references investigated and any other appropriate information available.
The selection committee will admit to the interview only those persons who possess the most job related qualifications and may establish admittance criteria beyond the minimum qualifications stated above. The interview will comprise 100% of the applicant's earned grade. A candidate must earn a qualifying grade of 70 or more on the interview to be eligible for appointment. After initial interviews with the selected candidates are conducted, an email will be sent to the address on file with instructions on how to complete and submit a Conviction Questionnaire. Candidates have 3 days to complete the required questionnaire.
The five top ranking candidates, based on the final grade, will be certified to the Department Director/Appointing Authority who will make the final decision.
All applicants conditionally offered a merit position will be required to submit to urinalysis to screen for illegal drug use prior to appointment. The screening will be performed by a reputable clinical laboratory. The cost of screening will be covered by the County.
